Choose a repeated task with a clear finish
Look for a task that happens often and has a recognizable output: organizing an enquiry into a brief, preparing a content outline or assembling an onboarding checklist. Avoid starting with “automate everything.” First document how the task works today, where the time goes and which decisions still need a person. The simplest useful workflow is often easier to review and maintain.
Define the input before writing the prompt
List the facts the workflow needs and where they come from. A brief may need a service, audience, business goal and approved source notes. Decide which fields are required and what happens when a value is missing. Do not ask the model to fill gaps with invented customer facts, prices or promises. Keep secrets and sensitive records out of ordinary draft inputs.
Separate a draft from an action
Preparing a reply is different from sending it. Suggesting a campaign angle is different from launching an advertisement. Put a visible review point before external actions, especially where money, account access or public claims are involved. The reviewer should see both the output and the facts it used. Record the approved version so later changes can be compared.
Plan the failure route
A useful workflow explains what happens when a provider is unavailable, a required field is empty or the result is unsuitable. Avoid duplicate external actions when retrying. Keep the request identifiable and make the current state visible to the team. Test with sample inputs and disabled delivery before connecting real customer communications.
Your next step
Write one sentence for each part: trigger, approved inputs, expected output, reviewer and failure path. Then compare the effort with the time the repeated task currently takes. A workflow earns its place by making a real task clearer or lighter, not by adding another dashboard.
